Vehicles and Assets

Fleet management starts with the vehicle or similar asset. Each asset in your fleet is equipped with a GPS unit that sends regular reports. These reports let you track where your assets are and what they are doing.

At any time, you can see:

The location of each asset: As a latitude and longitude, address, or location that you have named by adding a marker.
The status of each asset: Icons let you know at a glance whether a vehicle or other asset is moving, idling (stopped with the engine running), working in place, stopped (engine off), or out of range of cellular coverage.

This information is available in real time, using the map or the vehicles list. Note that all assets are displayed in the vehicles list, even if they are not actually vehicles.

In addition to the real-time information from the regular reports that units send, you can view historical information to see the status and location of your vehicles and other assets over a specified time period.

When a vehicle does not send the expected regular reports, it is flagged as a non-reporting unit. For more information about what to do if you have vehicles or assets that stop sending the expected reports, see Non-reporting units.

You can also store information about your vehicles and assets, such as registration, maintenance history, and even free-form notes. This information can be accessed easily using the vehicle details dialog box or the dockable vehicle details pop-up.


Vehicles (and assets) are grouped into fleets, which you define. One vehicle can belong to an arbitrary number of fleets.

You can use fleets to organize which vehicles (and assets) you see at a time. At any time, one fleet is the active fleet, which determines what is shown in the home screen.
For many reports, you can use fleets to define the set of vehicles (and assets) to include in the report.
Fleets also control which vehicles or assets any user can work with. Each user can be granted privileges for working with specific fleets. For more information, see User administration.

Other Groups of Vehicles and Assets

In addition to fleets, you can also group vehicles and assets by asset types, categories, and skill tags.

Asset types are defined in the Asset Types screen then assigned in the vehicle details, the hierarchy, or in the fleets and teams screen. Asset types determine the type of icon that is displayed on the map for the asset, the conditions that indicate when an asset is "working", and how the system identifies that a unit has stopped reporting. If your version does not support different asset types, you can speak to your customer support representative about adding this option.
Skill tags are defined in the Tags Screen and can be assigned in either the vehicle details or in the hierarchy. Tags can be used to filter the information you see in the map.
Categories are assigned in the vehicle details, and can be used to filter the information you see in the dashboard.
Install types are defined in the Install Types screen then assigned to all relevant vehicles using the Fleets and Teams screen or using the hierarchy. Install Types allow you to configure the way inputs work without having to set up each vehicle one at a time. If your version does not support install types, you can speak to your customer support representative about adding this option.
