HOS Unassigned Miles (HOS v2.x)

This feature is applicable only if your drivers are using WorkPlan as an AOBRD (automatic on-board recording device) with Hours of Service v2.x or earlier.

To fully comply with Hours of Service regulations, all trips recorded by your vehicles must include details of:
 

The driver of the vehicle during the trip
The category of the trip, and
The Hours of Service statuses for each trip

If any of these details are missing from a trip record, these must be added manually using the Unassigned Miles tab of the Trips screen.

Understanding Vehicle Trips

A "trip" is a vehicle activity typically initiated and ended by an event transition. Typically this event is a change in vehicle status; for example, from idling to moving. In many ways, a Verizon Connect "trip" parallels the common notion of a trip that one might make in your own personal vehicle: for example, to the store to buy some milk.

In the Verizon Connect trip system, this outing would be treated as two trips, assuming that the vehicle's engine was started at your home, stopped at the store, then started again at the store when returning home with your milk, and finally turned off when you got home and parked your vehicle.

The first trip would be from your home to the store, and the second trip from the store back to your home. Of course, as the trip system stores details of commercial vehicle "trips", a vehicle is likely to make many trips delivering and collecting goods at customer sites, and time idling at various locations. If the vehicle is used to perform other tasks, such as clearing fallen trees, these trips also need to accommodate the vehicle remaining stationary while using attached Power Take Off devices (such as winches, booms, wood chippers) to perform various tasks, rather than simply being turned on and off at every site. It is for this reason that trips are generally, but not always, bookmarked by vehicle event transitions.

The Unassigned Miles Tab

To view the Unassigned Miles editor, from the Main section of the navigation bar choose Trips. The Unassigned Miles tab is selected by default. There might be a second tab for trip Classification using Verizon Connect® Trips.


 

In the upper left corner of the screen is the Trips Summary. This summarizes the trips that are currently missing an assigned driver, category, or a valid Hours of Service status for the period selected in the calendar fields. The Trips Summary includes the total number of trips missing information, the total distance covered by these trips, and the total duration of all trips that are missing some or all of their required information.

The following table describes the filters you can use to specify the trips you want to see:

1:

Calendar tools for selecting a date range. Only trips that occurred within this date range are displayed. The date range is limited to 8 days. When you select the start date from the first date picker, the second date picker allows dates up to 8 days after the first date.

2:

Fleet filter for selecting a particular fleet within the hierarchy. Only trips for vehicles within the fleet are displayed.

3:

Trip state filter for selecting all trips with a particular state or missing item (for example, to view only trips with unassigned drivers, or only those with HOS status problems).

4:

Filter for a specific vehicle, driver, start location, or end location.

5:

Coverage threshold is the acceptable difference in minutes between the times for a trip that were recorded by the driver using the Verizon Connect Hours of Service app and the times for the trip that were recorded by the hardware installed in the vehicle. For example, if the coverage threshold is 10 minutes, the driver recorded a start time of 8 am and the vehicle hardware recorded a start time of 8:05 am, then this is considered an acceptable difference and the trip has Full Coverage. If, however, the vehicle hardware recorded a start time of 8:11 am, then the trip has Partial Coverage.

6:

Minimum distance of trips to display, in the units specified for this account (miles or kilometers). Only trips with a greater length are displayed.

7:

Minimum driving time of trips to display, in minutes. Only trips with a greater driving time are displayed.

Each individual day (24-hour period) within the selected period also includes a summary of the trip number, distance and drive time of that day, within the trips table itself. You can collapse or expand the trip details for individual days using the toggle button to the left of each date header within the table.

The Unassigned Miles tab includes the following columns of information:
 

Vehicle - The name of the vehicle that completed the trip.
Time - The start time and date of the trip without complete driver, category or status details.
Location - The closest street address at the location the trip began, and the closest street address at the location the trip ended (shown in the format [Start Address] -> [End Address]).
Driver - The driver who completed this trip, if assigned. If no driver is listed, one must be manually assigned.
Category - The category of the trip, if assigned. If no category is listed, one must be manually assigned.
HOS Events - The Hours of Service events recorded for this trip. The following options are available:
o"Full Coverage" - The trip has valid HOS status information and the trip time recorded against the driver in HOS matches the trip time recorded for the vehicle.
o"No Coverage" - The trip has no HOS status information.
o"Partial Coverage" -  The trip has incomplete HOS status information. For example, the trip time is not fully covered by an HOS event.
o"-" (hyphen) - The trip does not have an assigned driver or the driver does not use HOS.
o"N/A" - The trip has a driver assigned, who uses WorkPlan with Hours of Service v3.1 or later as an ELD. Coverage is not calculated. You can view an HOS event that includes this trip on the Events tab.

To assign a status to the trip, click the "No Coverage" or "Partial Coverage" link.

Distance - The length of the trip in miles or kilometers.
Drive Time - The driving time of the trip. If the trip is missing a valid status, this is the duration after the Time value that must be manually assigned a status. For example, if the Time value is 12pm, and the Drive Time value is five minutes, the manually assigned status for this trip must cover the gap between 12pm to 12:05pm. To account for rounding errors, you should always add at least one additional minute to the status period, meaning the new status should cover the period between 12pm and 12:06pm.

Assigning a Driver

To assign a driver to a trip:
 

1.Select a date range using the calendar tools in the upper right corner of the screen, then filter the results by fleet, vehicle, driver, or trip start/end locations.
2.Select the check box beside the trips that you want to assign to the same driver. You can either replace the existing driver, or add a driver to a trip without a driver. The Actions drop-down menu is then displayed in the upper left corner of the screen (it replaces the Trips Summary). The number of trips that will be edited if you proceed is shown in brackets on the Actions drop-down menu (for example, "(2 trips selected)").

 
3.Click the down arrow on the Actions drop-down menu, and select Assign Driver. The Assign Driver dialog box opens.

 
4.Open the drop-down list on the Assign Driver dialog box and select a driver to assign to the trip. If the list of drivers is particularly long, start typing the driver's name into the Filter field at the top of the drop-down list. As you type, the list is filtered to include only drivers whose names match the text you enter.

 
5.Click Assign Driver to assign the driver. The driver assignment of the selected trips is updated immediately, and the content of the Unassigned Miles tab automatically refreshes. If the edited trips contained valid category and status details, the trips are removed from the list. If the trips still need to be assigned a status or category, refer to the following sections: Assign a Category and Assign a Status.

Assigning a Category

To assign a trip category:
 

1.Select a date range using the calendar tools in the upper right corner of the screen, then filter the results by fleet, vehicle, driver, or trip start/end locations.
2.Select the check box beside the trips that you want to assign to the same category. The Actions drop-down menu is then displayed in the upper left corner of the screen (it replaces the Trips Summary). The number of trips that will be edited if you proceed is shown in brackets on the Actions drop-down menu (for example, "(2 trips selected)").

 
3.Click the down arrow on the Actions drop-down menu, and select "Set Category". The Set Category dialog box opens.

 
4.Open the drop-down list on the Set Category dialog box and select a category to assign to the trip.

 
The category options available from this list are:
 
oPersonal - The purpose of the selected trip was for personal reasons, not related to work activities.
oYard - The trip occurred entirely within the confines of the yard or depot, for example, driving from a storage area to a maintenance shed, or to move goods within a yard.
oUnknown - The purpose of the trip is unknown.
oMaintenance - The selected trip was made as part of maintenance activities.
 
5.Click Set Category to assign the category to the trip. The category assignment of the selected trips is updated and the content of the Unassigned Miles tab automatically refreshes. If the edited trips contain valid status and driver details, the edited trips are removed from the list. If the trips still need to be assigned a status, refer to the following section: Assign a Status.

Assigning a Status

To assign a trip status:
 

1.Select a date range using the calendar tools in the upper right corner of the screen, then filter the results by fleet, vehicle, driver, or trip start/end locations.
2.Locate the trip you want to update, then click the No Coverage or Partial Coverage link for the trip in the HOS Events column. The Hours of Service dialog box opens.

 
3.Click Add on the Hours of Service dialog box to add a new status.

 
Enter the Time, Status, Sub Status, Location, or Remarks, or any number of these, for the new status then click Save.
The Time of the new status should be set at or before the Time that the trip currently missing status details began (this is listed in the Time column of the Unassigned Miles tab).
Statuses that can be selected are "Off Duty", "Sleeper Berth", "Driving" and "On Duty Not Driving".
The Location can be either "Unknown", "Depot", "Custom", or "Work Reporting Location".

 

 

4.Click Save.
5.Click Add on the Hours of Service dialog box again to add a second status. Enter the Time, Status, Sub Status, Location, or Remarks, or any number of these, for the new status then click Save. The Time of the new status should be set at least one minute after the Time value plus the Drive Time duration shown on the Unassigned Miles tab. For example, for a Time value of 2pm and Drive Time duration of 20 minutes, the second status must be set for 2:21pm or later.

 
6.Click Save.
7.You can edit or delete HOS status entries that you have manually added. Select the HOS entry and click Edit or Delete.
8.When you have finished editing the HOS statuses, click Close. The trip now includes a valid status. The status of the selected trip is updated immediately, and the content of the Unassigned Miles tab automatically refreshes.
